Terms and Conditions - Corporate Cars North East

Subject to the following terms and conditions, Corporate Cars North East Ltd. (the Company) undertakes to hire vehicle(s) and chauffeur(s) to the Client (any person or organisation booking or paying for or using the service) for the period of hire. Clients may complete the online quotation request form, or make contact by email, fax or telephone to receive a quotation. We will respond in writing either by email or fax , providing a quote based on the information you provided and detailing a payment method :

  • A deposit of 25% may have to be paid using our secure payment system, to confirm the booking, with the balance to be paid in full at least 48 hours prior to the booking time, using our secure payment system, or
  • Pre-payment in full may have to be paid when booked with less than 48 hours to the booking time, using our secure payment system, or
  • Cash in full settlement to the driver before commencement of the journey. A receipt will be provided at this time, or
  • Account Facility (subject to approval)

Booking Acceptance - Upon your  verbal or written acceptance of our quotation, we will email or fax to you a link to our secure payment system and the upon receipt any deposit/payment required, we will then email or fax to you a booking confirmation which will contain your Booking Reference Number (BRN).  This BRN must be used in all communications regarding the booking. If you do not receive your BRN within two working hours of your  payment, please contact us immediately. No BRN = NO BOOKING. Prior to your booking we will provide you by email, the name and mobile telephone number of your chauffeur. Vehicle details can also be provided upon request.

Cancellation and Refund Policy - The Company’s Cancellation Policy for bookings on all vehicles in our fleet reflects on the limited availability.

The Company reserves the right of making all deposits non-refundable. Once the Company has accepted your booking deposit payment, we will refuse any other booking requests that could conflict with yours for that vehicle on that day.  Our no refund policy also applies to wedding car booking deposits and payments.

  • 25% of the booking price as a cancellation charge if notified of cancellation between recieving your deposit or full payment and upto 24 hours prior to the scheduled journey.
  • 50% of the booking price as a cancellation charge if notified of cancellation between 12 hours and 24 hours prior to the scheduled journey.
  • 100% of the booking price as a cancellation charge if notified of cancellation within 12 hours of the scheduled journey or if no notification is received.

 

The following terms also apply;

  1. All prices quoted are in GBP Sterling and exclusive of VAT unless otherwise stated. UK VAT will be charged at the rate pending at the date of invoice.
  2. The Company will not be held responsible for any meeting/appointment/flight/train missed as a result of traffic or road conditions outside of our control or of our drivers. Every possible effort will be made to avoid such a situation by pre-planning routes.
  3. The Chauffeur will travel by the most appropriate route on the day, unless instructed otherwise by the Client.
  4. Any variations to the journey(s) originally discussed, booked and agreed to between the Client and the Company may be subject to additional charges, if these variations involve extra time, or if extra distance is being covered.
  5. The Company and its Chauffeurs have the right to refuse to carry any passenger who is thought to be under the influence of alcohol or drugs and whose behaviour may pose a threat either to the Chauffeur, the vehicle or any other passenger.
  6. The full cost of repair of any damage caused by the actions of the passenger(s) to the hired vehicle(s) will be charged to the Client.
  7. The Company will charge to the Client a valeting fee, minimum of £100,  for any misuse or soiling of the vehicle(s) through spillage or sickness.
  8. When a vehicle is hired for more than two transfers in a day or for a two day or longer hire period, whilst every endeavour will be made for the Client to retain the same vehicle and a chauffeur during such a period, the Company reserve the right to substitute for any other vehicle or chauffeur.
  9. Although vehicles are fully insured for passenger and third party claims under British Law, Client's properties are carried entirely at their own risk. The Company will accept no responsibility for loss or damage to any luggage/property carried in their vehicles, irrespective of the manner in which the loss/damage has resulted.
  10. The Company maintains a strict non-smoking policy in all its vehicles.
  11. Assistance dogs are allowed to travel in all our vehicles but you must inform us at the time of booking.
  12. You must seek our written permission to carry pets with you in our vehicles.
  13. The Company’s acceptance of late bookings (within 2 hours of required time) is subject to  driver availability.
  14. All hires are subject to a £20.00 minimum charge, but special rates are available for account holders.
  15. The Company reserve the right to levy a 25% surcharge on any public holiday.
  16. The Company reserves the right to amend, change, delete or add to these terms and conditions whenever necessary and without prior notice.


Nothing contained in these terms and conditions can affect the Client's' statutory rights.
